Reconciling Automated Stock Counts with Inventory Records
Reconciliation requires matching material identity, location, cutoff time and quantity or weight units. Chituo has completed physical-material collection and reconciliation on site. Financial valuation, transfers and exception handling depend on the customer’s systems.
A machine count can reduce manual reporting. To reconcile that count with inventory, the record also needs a batch, a location and a unit. Chituo has completed automated collection and reconciliation using physical material on site. Agree on the matching fields for each customer implementation.
Set four matching conditions
| Condition | Establish |
|---|---|
| Identity | Batch, diameter, length and project or component |
| Location | Stock, work in progress, pockets, remnants and dispatch |
| Time | One cutoff and treatment of in-transit material |
| Unit | Bar count, theoretical weight and measured weight |
Internal transfer is not dispatch
Moving stock into processing or finished bars into pockets changes their location or state. Do not deduct the same material repeatedly from a whole-site count. For a processing task, a consistent mass balance can compare input with qualified output, reusable remnants, scrap and process consumption such as kerf.
Financial records also apply valuation, settlement and cutoff rules. A sensor count does not determine inventory value. Define the ledger source, conversion rules and responsibility for differences during integration.
Reconcile one physical batch first
Start with an identifiable input batch and receiving pockets. Keep the task ID, movement records, physical count and ledger extract at one cutoff. Tracing a difference to specific material provides stronger acceptance evidence than a green status indicator alone.
